How do we do this?
At HSS, we offer 24 hour support, 7 days a week through all weekends and holidays.
We take calls on maintenance problems, issue reminders to landlords on due dates for insurances, taxes, safety checks and tenancy arrears - and how does this work?
It’s a mixture of technology and location
We have created a database that intelligently links many different fields of information together. It creates a relationship between tenant, landlord, estate agent and property, and can and this property on a map.
Tenancy, insurance and other dates and details are put in at the beginning of this relationship and the system generates notifications and sends them out, inviting you to log-on and see what is happening - with the ability to generate a report of profit and loss by property, county or as a whole while you are there.
The database is continually backed-up, and securely hosted on protected servers. Encryption is used throughout, including where you log-in, to ensure peoples personal details are kept completely private.
HSS developed this in accordance with the Data Protection Act and its stringent information-handling practices. For example, tenants’ information is held only as long as required after the tenancy period, then removed from the database.
We are also smart about location. We are a trusted company in Coimbatore, India, which is majority-owned and operated by a British national. Our company fields the maintenance calls and calls out only in specific, necessary cases. We are not a call centre by nature, and our operators were recruited, trained and work solely for our maintenance calls. All information is encrypted as in the UK, and the company itself adheres to the Data Protection Act and is in their register of data controllers.
Maintenance

They need a roofer, quickly.
Mrs Jones calls a local number, and the call is picked up in India.
Mrs Jones has mislaid the piece of paper with her property’s unique reference number.
“No problem madam, in that case all I need is your name and address”
Mrs Jones passes it along and, in India, the secure database tells the trained operator the property and tenants’ information and the contact information of each contractor that could be required.
She says she needs work done on their roof, as soon as possible. The HSS representative lets her know he will call her back within 10 minutes.
Mr Rogers is on the approved list of contractors for the Jones’ property. He receives a notification on his PDA of the problem. He replies back: “Will be there in one hour”
This is received in India a second later, flashing up with the Jones’ property’s file. The operator calls the Jones’ quickly, letting them know. Mrs Jones is happy at the ease of it all.
The operator looks to who pays the bills for the property - its the landlord.
He’ll let the landlord know by email that he can view what happened this morning online, at his convenience.
